What a trustee actually fears

The student record is the foundation the whole school stands on — fees read from it, exams attach to it, the parent app draws from it. And it is exactly where multi-year, multi-campus schools quietly go wrong: a promotion, a branch transfer or a repeated year, and suddenly last year's report card and this year's fee ledger disagree about which class she is in. It is rarely a bug anyone files — just a slow drift from one "current class" box that gets overwritten every promotion, which the rest of the system keeps reading as if it were true of the past too. So we stopped doing that. Every year a student is enrolled gets its own record, and class, section and branch are read from that — never from one box the past has to share with the present.

What it does
  • Rich student profiles

    Full demographics, documents and a photo for each academic session — so a record opened years later shows the child as they were that year, not as they are now.

  • Custom fields

    Track the fields you actually care about — house, bus stop, board roll number, anything — and each value is kept per year, so a field always holds the right answer for the right session.

  • Family & siblings

    Parents are linked once and siblings are related to each other — the same relationships that drive sibling fee concessions and one well-aimed message to a household.

  • Admission-number history

    Admission numbers are kept as a history, not overwritten — so a number reused, corrected or carried across a transfer still resolves to the right child.

  • Status tracking

    Active, transferred, graduated, left — a student's standing is an explicit status, not an inference from whether anyone has touched the row lately.

  • Remarks & staff wards

    Staff can record dated remarks against a student, and children of employees are flagged as staff wards automatically — surfaced wherever the relationship matters.

How it fits

    Fees that bill the right class. Fee terms, concessions and instalments read the student's class, section and branch from the year being billed — so a promotion never silently re-prices last year, and a sibling discount follows the real family link.

    Exams that stay attributed. Score entry and report cards are tied to the specific year, not to one ever-changing class field. Re-open a past session and the marks sit under the class the student was actually in.

  • 03 / 04

    Multi-campus without collisions. Each year's record carries its own branch, so a child who moves between campuses inside a trust stays one continuous student — counted at the right branch each year, never duplicated, never lost.

  • 04 / 04

    Sol, reading the truth. Ask the AI agent about a student across years and it reads the very same records the screens do — no separate, staler copy of the truth for the assistant to misread.
